Use either of the following ways to optimize printing:

Optimize the printing of large documents: Disable any screen savers or alternatively, switch to a blank screen saver during the print job to optimize the printing of large documents. If you set to display animated screen savers, it will use computer processor time and may consume the time required for the processing of your print job.

Print proofs quickly: Enable the Draft output option as this option allows printing the document with minimal formatting so that the document may print faster. It is the ideal option for printing proofs.

Important Note: This option may not be available in some printers.

  • Start the Word program.
  • Click the Microsoft Office Button in Word 2007, click File in Word 2010 and then click Word Options.
  • Click on the Advanced option in the Word Options dialog box, and then scroll down to see the Printing section.
  • Click in the check box to select the option Use draft quality, and then click on the OK option.

Apply background printing option which best fits your requirements

You can continue to work in Word while your document is printing in the background if background printing is enabled. Your document may print more slowly because background printing uses additional memory.

Your document prints faster when background printing is disabled, but in this case you cannot work in Word unless the print job is done. To speed up printing, disable background printing if you do not have to work in Word while your document is being printed.

Follow the steps given below to disable background printing:

  • Start the Word program on your computer.
  • Click on the Microsoft Office Button in Word 2007, in Word 2010, click File, and then click Word Options.
  • Click Advanced in the Word Options dialog box and then scroll down the open page until to see the Printing section.
  • Clear the Print in background check box by clicking on it, and then click on the OK button.

Make alterations in the printer spool settings

Return to application (RTA) speed and the printer page drop speed are the two factors which are used to measure the printer speed. The RTA is defined as the time from the instant when you click for the Print to the instant when you regain control of the program and the printer page drop speed is the time from when you click for the Print to when the print job is done.

By changing the printer spool settings, you can change both the RTA and printer page drop speed.

Follow the steps given below to change the printer spool settings in Windows XP:

  • Click on the Windows Start button, and then Printers / Printers and Faxes.
  • Drag the cursor on the printer that you want to use, right-click on it, and then click Properties.
  • In the opened window, click on the option Advanced tab.
  • Click to select Start printing immediately for a faster RTA speed if this option is not already selected. Click to select Print directly to the printer for a faster printer page drop speed.

Important Note: The Print directly to the printer option will be unavailable if the printer is shared. Sometimes, this option also stops laser printer engines from turning on and off while a print job.

  • Click on the OK option.

Disable Outlook Journal options

To automatically record items such as when you open, close, and save documents, you can configure the Journal in Microsoft Office Outlook 2007. However, this may cause a noticeable delay while performing the open, close, or save operation on some computers.

Follow the steps listed below to disable Outlook Journal options:

  • Start Outlook 2007.
  • Click Options on the Tools menu.
  • Click Journal Options in the Contacts area.
  • In the Automatically record these items area, click to clear all the check boxes and then click on the OK option.
  • Now close the Options dialog box by clicking on the OK button.

Apply a different Windows desktop theme

Performance may get improves on some computers if you change the Windows desktop themes and the chosen theme is not graphic-intensive. From the performance prospect, it will be better if you use a simple theme because it will save memory.

Windows Vista and Windows 7

  • Right-click with the mouse on an empty space on your desktop, and then click Personalize.

  • Choose and click on the theme that you want to use in the Theme Settings dialog box.
  • Click on the OK option.

Windows XP

  • Right-click with the mouse on an empty space on your desktop, and then click Properties.
  • Click on the Themes tab.
  • Select and click the theme that you want to use in the Theme box.
  • Click on the OK option.

Disable the mouse scheme

System performance increases if you disable the animated mouse scheme. However, on some computer, you may not notice the noticeable improvement in performance.

Follow the steps listed below to disable the mouse scheme:

  • Click on the Windows Start button and select Control Panel.
  • Double-click on the Mouse icon and then click the Pointers tab.
  • Click None in the Scheme box and then click OK option.

Do not generate graphics if downloading Web pages

If you decide not to generate graphics images while downloading web pages, you can improve the speed of the download process. If you view the documents in a Web browser that supports Vector Markup Language (VML) and save documents as Web pages, use this procedure. It takes less time to download and to view a Web page if graphics are not downloaded every time when you open the page. Moreover, it also saves disk space.

Follow the steps given below to use VML to display graphics in browsers when you see documents in a Web browser:

  • Start the Word program.
  • Click on the Microsoft Office Button in Word 2007, in Word 2010, click File, and then click Word Options.
  • Click Advanced in the Word Options dialog box, scroll down to the page to see General section, and then click Web Options.
  • Click Internet Explorer 3.0, Netscape Navigator 3.0, or later on the Browsers tab.
  • For displaying graphics in browsers check box click to select the Rely on VML in the Options box, and then click OK.

Save documents in the current format

A conversion engine runs if you open a document that was saved in a different file format and this conversion process cause to open the document slowly. This process may cause the document to open slowly. So save the document in the current format to enhance the speed and performance. For instance, save the document as a Word document (.docx) in Word.

Disable the option “Update automatic links on Open”

Documents may open faster if you disable the Update automatic links on Open option. If it is required,  you can manually update links later.

Follow the options given below to disable the Update automatic links on Open option:

  • Start the Word program.
  • Click the Microsoft Office Button in Word 2007, in Word 2010, click File, and then click Word Options.
  • Click Advanced in the Word Options dialog box and then scroll down to the General section.
  • Clear the Update automatic links on Open check box by clicking on it and then click on OK option.

Follow the steps given below to manually update links:

  • Start the Word program.
  • Click the Microsoft Office Button in Word 2007, in Word 2010, click File, point to Finish, and then click on the option Edit Links to Files.
  • Click the link that you want to update, and then click Update Now.

Disable the “Recently used file list” option

To disable the Recently used file list option, follow these steps:

  • Start Word.
  • In Word 2007, click the Microsoft Office Button (In Word 2010, click File), and then click Word Options.
  • Click Advanced in the Word Options dialog box, and then scroll down to the Display section.
  • Click 0 in the Number of documents in Recent Documents list box and then click on OK option.

Disable cut and paste options

Word 2007 may perform better when you disable the Show Paste Options button option and the Smart cut and paste option.

Follow the steps given below to disable these options:

  • Start Word program.
  • Click the Microsoft Office Button in Word 20017, click File in Word 2010 and then click Word Options.
  • Click Advanced in the Word Option dialog box, and then scroll down to the Cut, copy and paste section on the opened page.
  • Clear the Show Past Options buttons check box by clicking on it and use smart cut and paste check box, and then click on OK option.

Disable ScreenTips

A short description appears for some items in Word, tracked changes, such as comments, or hyperlinks when you put the mouse pointer over the object. The description that display is known as a ScreenTip. Word may perform better when you disable ScreenTips.

Follow the steps to disable Screen Tips:

  • Start Word program.
  • In Word 2007, Click the Microsoft Office Button in Word 2007, click File in Word 2010, and then click Word Options.
  • Click Popular in the Word Options dialog box in Word 2007 and General in Word 2010.
  • In the ScreenTip Scheme box, click Don’t show ScreenTips, and then click OK.

When you access data across a Wide Area Network (WAN), use local folders instead of redirected folders

When you access folders to access data, they are redirected to a location on a server, so Word may perform very slowly. Application Data folder is such an example.

Use one or both of the following methods to improve performance:

  • Instead of using redirected folders, Use local folders.
